Share a workspace item publicly
Use the share dialog to create, manage, and revoke public share links and QR codes for a workspace item.
This guide is designed for project manager.
Steps
Step 1: Open the share dialog for a workspace item
In your workspace, locate the item you want to share and select the option to open the Share dialog; the dialog displays existing public shares and sharing options for that item.

Step 2: Review existing public shares
In the dialog, check the list of active public shares for the item, including details such as title, access rules, expiry, and usage so you understand what is already shared.

Step 3: Choose an access type
In the access settings area, select whether the shared link should be Public, Email Gated, or Password protected, depending on who should be able to open the item.

Step 4: Configure access controls
If you chose email gating, enter the allowed email addresses; if you chose password protection, set a secure password, and optionally define expiry in days and a maximum access count to limit how long and how often the item can be accessed.

Step 5: Add a custom title and description
Enter a custom title and description for the shared item so that recipients see clear, user-friendly context when they open the public link.

Step 6: Create the public share link
Save your settings to create a new public share; the new share appears in the list with its link and access details ready to use.

Step 7: Copy the public share URL
In the list of public shares, use the copy link action to copy the URL for a specific share to your clipboard, then paste it into emails, chat, or documents for your stakeholders.

Step 8: Generate and view a QR code
For a chosen public share, use the QR code action to generate a QR code; once generated, open it in the dialog to display a scannable code that links directly to the shared item.

Step 9: Download the QR code
From the QR code view, use the download option to save the QR code image so you can embed it in presentations, printed materials, or project documentation.

Step 10: Revoke a public share
When you no longer want an item accessible via a public link or QR code, use the revoke action on the relevant share to immediately deactivate it and prevent further access.
