Manage public sharing for a resource
Configure and control a public share link so stakeholders can securely access a specific document, report, task or record.
This guide is designed for project manager.
Steps
Step 1: Open the public sharing dialog
In the relevant document, report, task or record, select the Share option and choose Public link to open the public sharing dialog.

Step 2: Review the resource details
Check the dialog title and subtitle to confirm you are sharing the correct resource and understand what will be exposed via the public link.

Step 3: Choose who can access the link
In the Access section, pick whether the link is Public, Email gated or Password protected, depending on how restricted you want access to be.

Step 4: Configure any additional access settings
If available for this resource type, complete any extra fields such as invitee details or custom options in the additional tabs or sections.

Step 5: Set a custom public title (optional)
If the Custom title field is shown, enter a clear name that external viewers will see on the public page instead of the internal resource name.

Step 6: Copy and share the public link
Use the Copy link control to copy the generated public URL and share it with your stakeholders by email, chat or any other communication channel.

Step 7: Generate and download a QR code (optional)
If the QR code option is available, create a code for the public link and download it so you can add it to printed materials or presentations.

Step 8: Review invitations and resend if needed
In the invitations section, check who has been invited, view their status and use the Resend option to send a fresh invitation email if required.

Step 9: Monitor and adjust or revoke access
If access needs change, reopen the dialog to update access settings or disable the public link so that external users can no longer view the resource.
