Share a report with your team or with people outside PlanOps
Give colleagues access to a report, or create a secure public link and QR code so people outside your organisation, like a client or inspector, can view it too.
This guide is designed for project manager.
Steps
Step 1: Open the sharing options
With your report open, select share to bring up the options for sharing it, both inside and outside your organisation.

Step 2: Choose internal or public sharing
Switch between the Internal and Public tabs, depending on whether you're sharing with someone in your organisation or creating a link for someone outside it.

Step 3: Give a colleague access
In the Internal tab, pick someone from your organisation and set what they can do, such as Viewer, Editor or Owner, then save to grant them access.

Step 4: Check or change who already has access
In the Internal tab, look at who can already see the report. Change their level of access, or remove them if they no longer need it, then save.

Step 5: Set up a public link with the right restrictions
In the Public tab, choose how open the link should be, public, needing an email address, or password-protected, and add a password, allowed emails, an expiry date, or a limit on how many times it can be used.

Step 6: Create the public link
Once you've set the restrictions, create the link. It appears in your list of public shares along with its settings, ready to send out.

Step 7: Copy the link to send it on
Copy the link from the list of public shares, then paste it into an email, message, or document for whoever needs it.

Step 8: Make a QR code for the link
Turn a share link into a QR code so people can scan it to open the report on their phone. Download the image to use in print or in a presentation.

Step 9: Close the sharing screen
Once you've set everything up, close the sharing screen to get back to your report. Your new sharing settings are already in place.
