Share a report with your team or externally
Use the share dialog to grant colleagues access to a report, create public links, and manage existing shares.
This guide is designed for project manager.
Steps
Step 1: Open the report sharing dialog
From your report view, open the sharing panel (often labelled "Share" or shown as a share icon) to manage who can access the report.
Step 2: Review and switch between internal and public sharing
In the dialog, use the tabs to switch between internal sharing within your organisation and public link sharing options.
Step 3: Add internal collaborators and set their role
On the Internal tab, select an organisation member, choose whether they are a Viewer, Editor, or Owner, and add them to the report.
Step 4: Manage and remove existing internal shares
Review the list of people who already have access, adjust their roles if needed, resend invitations, or remove their access from the report.
Step 5: Choose a public access type
On the Public tab, select whether the report should be shared via an open public link, limited to specific email addresses, or protected with a password.
Step 6: Configure email-gated or password-protected access
If you choose email-gated or password-protected access, enter the approved email addresses or password and decide whether invitation emails should be sent automatically.
Step 7: Generate and copy a public share link
Create a new public link, then copy it using the copy-link button so you can share it with external stakeholders.
Step 8: Generate and download a QR code
Use the QR code option to generate a scannable code for the shared report, then download it for use in presentations or printed materials.
Step 9: Revoke public share links
When a link is no longer needed, revoke the public share so that the URL and any associated QR codes no longer provide access.
Step 10: Save your sharing changes
When you have finished updating internal and public access, save your changes and close the dialog to return to the report.
