Search and Filter Reports
Find reports quickly using search, filtering by category/format/status, and sorting options. Organize reports by tags and custom metadata for easy discovery.
This guide is designed for general-user.
Steps
Step 1: Navigate to Reports
From the sidebar, click Reports. You can search and filter in both sections: Generated Documents (template-based) and Reports (manual reports).
Step 2: Use search to find reports
At the top of the reports list, type in the search box to find reports by title or content. Search is real-time - results update as you type. Search works across report titles and document names.
Search is case-insensitive and matches partial words.
Step 3: Filter by category (manual reports only)
In the Reports section, click the Category filter dropdown to show only reports of specific types: Progress, Risk, Quality, Status, etc. Select multiple categories to combine filters.
Reports can belong to only one category.
Step 4: Filter by format (manual reports only)
Click the Format filter to show only Text or Table format reports. This helps if you're looking for specific report types (narrative vs. structured data).
Step 5: Filter by status (generated documents only)
In the Generated Documents section, click Status filter to show documents with specific statuses: Draft, Pending Validation, Valid, Current, Superseded, Archived, Invalid. Select multiple statuses to combine filters.
Step 6: Filter by tags (manual reports only)
Click the Tags filter and select tags created on reports. This is useful for custom organization - for example "Q4-Review" or "Client-Deliverable". Reports are tagged during creation.
A report can have multiple tags, so filtering by tag shows all reports with that tag.
Step 7: Sort the list
Click the Sort dropdown to change how reports are ordered. Options include: Title, Category, Format, Status, Updated Date, Version, or Creator. Choose ascending or descending order.
Step 8: Combine multiple filters
Use multiple filters simultaneously to narrow results. For example: search for "risk" + filter by "Risk" category + filter by "Valid" status + sort by "Updated Date". Filters work together to refine results.
The number of results updates as filters are applied.
Step 9: Clear filters and search
To reset all filters and see all reports again, click Clear All button or clear the search box. This shows the complete unfiltered list.
