Generate a Document from Template
Generate formatted documents automatically from templates using project data and custom field values. Review the generated document and save new versions as your project progresses.
This guide is designed for project-manager.
Steps
Step 1: Navigate to Generated Documents
From Reports, click the Generated Documents tab, then the Documents sub-tab. This shows all previously generated documents. Click Generate New Document button to create a new document from a template.
Step 2: Select a template
In the Generate Document dialog, select the template you want to use. You'll see the template name, description, and scope (Project or Organization). Only published templates are available for selection.
Templates are organized by scope and type.
Step 3: Configure custom fields
If the template requires custom field values, a form appears. Enter or select values for each required field. Some fields may have default values or dropdown options. Hover over fields to see descriptions.
Red asterisks (*) indicate required fields that must be filled before generating.
Step 4: Provide user inputs
If the template has user input sections, provide the requested information. This might include executive summary, key findings, recommendations, or other user-specific content based on the template design.
You can switch to JSON mode to paste structured input if preferred.
Step 5: Override document title (optional)
By default, the document uses the template name as title. Optionally override this with a custom title like "Q4 2025 Project Report" or "Site Survey Analysis". Leave blank to use the default.
Step 6: Generate the document
Click Generate Document. The system processes your inputs and generates the document, which typically takes 10-30 seconds. You'll see a progress indicator.
Do not close the dialog during generation.
Step 7: Review generated document
Once generation is complete, the document appears in the preview panel. Review the content, formatting, and auto-populated values from your project data. Ensure everything looks correct before saving.
You can edit the document content if needed - click Edit to modify.
Step 8: Save or export document
To save the document to the project, click Save Document. To export immediately as PDF, click Export PDF. Saved documents receive a status (Draft, Valid, Current) and can be versioned.
