Configure External System Integrations

Connect external systems and Common Data Environments (CDEs) to your AgentCon organization. Enable data synchronization with project management tools, BIM platforms, document management systems, and other enterprise tools.

This guide is designed for system-admin.

Steps

Step 1: Navigate to External Systems

From Organization Settings, click External Systems in the left menu. This shows all configured integrations and available systems to connect. External systems enable data sync between AgentCon and other platforms.

Step 2: View available integrations

The External Systems page displays: Connected systems (currently integrated), Available systems (ready to connect), and Coming soon (planned integrations). Review what's available for your organization and project needs.

Step 3: Select system to connect

Click Connect System and select the system you want to integrate: CDE platforms (Assemble, Touchplan, BIM 360), Project tools (Microsoft Project, Smartsheet), BIM tools (Revit, ArchiCAD), or document systems (SharePoint, Google Drive).

Step 4: Provide connection credentials

Enter credentials or authentication tokens for the external system. This typically includes: API key, username/password, OAuth token, or webhook URL. Credentials are encrypted and securely stored. Never share credentials in plain text.

Step 5: Configure sync settings

Configure what data synchronizes: Documents (upload/download), Tasks (sync schedule and status), Teams (sync people and roles), Custom fields (map to external system fields), and Reporting (export data). Choose direction: one-way or bidirectional sync.

Bidirectional sync keeps both systems updated but requires careful configuration.

Step 6: Map data fields

For systems with different data structures, map AgentCon fields to external system fields: AgentCon "Priority" → External "Priority Level", AgentCon "Status" → External "Workflow State", etc. Correct mapping ensures data integrity during sync.

Step 7: Test connection

Click Test Connection to verify credentials work and the external system is accessible. The system attempts to read data and reports success or error. Fix any connection issues before proceeding.

A successful test doesn't guarantee full sync will work - test sync with small data first.

Step 8: Configure sync schedule

Set how often data synchronizes: Real-time (immediate), Hourly, Daily, Weekly, or Manual (on-demand). Real-time sync keeps systems in perfect sync but uses more resources. Daily sync is typical for most integrations.

Step 9: Enable for projects

Once integrated, the external system is available in all projects. Project admins can enable/disable the integration per-project if needed. Some projects may not need all integrations.

Step 10: Monitor sync status

In the External Systems page, view the sync status: Last sync time, number of items synced, any errors or warnings. Sync logs show details of each synchronization. Monitor regularly to catch and resolve issues.

If sync fails, check logs for error messages and contact support if needed.

Step 11: Update or disconnect systems

To update credentials or settings, click the system and make changes. To disconnect, click Disconnect. Disconnecting stops data sync but doesn't delete existing data. Reconnect later if needed.
