Export workspace items to a spreadsheet
Use this dialog to export selected workspace items from a project into an XLSX spreadsheet, with optional filters for status, priority, assignee and dates.
This guide is designed for project manager.
Steps
Step 1: Open the export workspace dialog
From your workspace, select the option to export items (for example, an “Export” button or menu action). The Export workspace dialog opens, showing the project name and a summary of how many items can be exported.

Step 2: Review export limits and item summary
At the top of the dialog, review the total number of items available for export and any limits (such as the maximum number of items that can be exported at once). Use this information to decide whether you need to narrow down the export with filters.

Step 3: Filter items by status
Open the Status filter dropdown and tick the statuses you want to include (for example, “In progress”, “Blocked”, “Done”), using the search box if available to quickly find a status. Close the dropdown to apply the filter and update the export count.

Step 4: Filter items by priority
Open the Priority filter dropdown and select one or more priorities (High, Medium, Low). The coloured labels in the dropdown help you quickly identify priority levels. Close the dropdown to apply the priority filter.

Step 5: Filter items by assignee
Open the Assignee filter dropdown, search for team members by name if needed, and tick the users whose items you want included. This limits the export to items assigned to the selected people.

Step 6: Apply date filters (if available)
If date filters are shown, use the date picker controls (for example, “Created date” or “Due date”) to set the date range for items you want to export. Confirm your selections so the export will only include items within that range.

Step 7: Confirm filtered item count
Check the updated summary in the dialog to see how many items match your filters and will be exported. Adjust your filters if the number is too high, exceeds the maximum export limit, or is too low.

Step 8: Start the export
Click the Export button to begin generating the XLSX file. The system prepares the export in the background; you may see a loading state or confirmation while the file is being created.

Step 9: Download the exported XLSX file
Once the export completes, use the Download control presented in the dialog to save the XLSX file to your computer. Open the file in your preferred spreadsheet application to review or share the exported workspace data.
