Manage stage transitions from the action bar

Use the stage action bar to move a workspace item forward or back through its lifecycle, based on the allowed transitions.

This guide is designed for project manager.

Steps

Step 1: Review available stage actions

Open the workspace item read view and look at the stage action bar to see all available transitions for the current stage, including forward and secondary actions.

Step 2: Check readiness and blocking requirements

For each action, review any readiness notes shown in the bar to understand what evidence or tasks are missing before a manual transition can be confirmed.

Step 3: Trigger a forward transition

Click a highlighted forward action (for example, progressing the item to the next stage) and confirm the transition in the dialog when prompted.

Step 4: Use secondary actions to cancel or return

Choose a secondary action such as cancelling or returning the item to a previous stage, then confirm the move if the dialog shows that all gating conditions are met.

Step 5: Start a form-based transition

For transitions that require a form, select the relevant action to open the associated form or permit flow, even if readiness notes indicate outstanding evidence.

Step 6: Refresh the item after transition

After confirming a transition, wait for the item view to refresh so you can see the updated stage and any newly available actions in the stage action bar.
