Manage workspace items in the list view

Use the workspace list view to review, sort, group, and bulk-update tasks, meetings, and other items across your projects.

Steps

Step 1: Open the workspace list view

Navigate to the workspace area of the application and open the list view to see all workspace items such as tasks, meetings, milestones, and deadlines.

Step 2: Review items and categories

Scroll through the list to review each workspace item, using the category labels like Task, Meeting, Milestone, and Procurement to understand the type of work.

Step 3: Adjust visible columns

Open the column picker to choose which fields are shown in the list so you can focus on the details most relevant to your project tracking.

Step 4: Sort and group your workspace

Use the sort options and group-by controls to organise items by category, status, priority, or other available fields, ensuring urgent and actionable work appears first.

Step 5: Collapse or expand grouped sections

Collapse or expand grouped sections (for example, Automated or unassigned groups) to reduce noise and keep the list focused on current, actionable work.

Step 6: Select items for bulk actions

Tick individual items or use the select-all option to choose multiple records that you want to update together.

Step 7: Change priority in bulk

Apply a bulk priority change to the selected items, updating them to urgent, high, medium, or low so your team understands what to work on first.

Step 8: Change status in bulk

Use bulk status change to move multiple items to the appropriate workflow state, such as moving a set of tasks from in progress to complete.

Step 9: Delete unneeded items

Use the delete action on selected items to remove outdated or incorrect records from the workspace list, keeping it clean and current.

Step 10: Review items on mobile

On a mobile device, use the mobile card layout to quickly scan, sort, and update workspace items while on site or away from your desk.
