Review and manage lifecycle items

Use the Lifecycle Items widget to review, filter, and prioritise people-related tasks across projects.

This guide is designed for project manager.

Steps

Step 1: Open the Lifecycle Items widget

Locate the Lifecycle Items widget on your dashboard and confirm that it has finished loading; if data is still loading, a skeleton placeholder is shown until the list and counts appear.

Step 2: Review the lifecycle items summary

At the top of the widget, review the summary tiles showing total items, overdue work, tasks due this week, and unassigned items to understand overall workload and risk areas.

Step 3: Group items by project

Use the "Group by project" toggle in the widget header to switch between a flat list of lifecycle items and a view grouped under each project header.

Step 4: Filter items by lifecycle and stage

Use the filter controls (including the Filter and Layers icons) to limit the list to specific lifecycles or stages so you can focus on the most relevant items.

Step 5: Identify overdue and upcoming items

Scan the due date column and icons such as the Calendar and Alert indicator to quickly spot overdue items and those due soon, paying attention to highlighted or coloured status.

Step 6: Prioritise work using priority and labels

Review the priority level and any labels shown for each lifecycle item to decide which tasks should be handled first and how they should be organised.

Step 7: Check assignment and unassigned work

Look at the assignee field on each item, and use the unassigned count in the summary to identify work that still needs an owner.

Step 8: Refresh the lifecycle items list

Click the refresh button with the Refresh icon in the widget header to reload the latest lifecycle items and ensure you are viewing up-to-date information.

Step 9: Review items within a specific project group

When grouped by project, expand or scroll to a particular project header to review only the lifecycle items associated with that project.

Step 10: Inspect item details

For each lifecycle item, review its reference, lifecycle name, stage, due date, priority, labels, and timestamps to understand its context before taking action elsewhere in the system.
