Configure a custom form

Use the Form Builder to design custom forms, manage workflow behaviour, and set default field values and automation tasks.

This guide is designed for project manager.

Steps

Step 1: Open the Form Builder

Navigate to the screen that contains the Form Builder and open the form you want to configure, or start from the provided initial configuration.

Step 2: Add new fields from the palette

Use the Field Palette to add new fields to your form; choose field types such as text, numbers, checkboxes, or other supported options and insert them into the form layout.

Step 3: Reorder and organise form fields

Drag and drop fields to change their order or use any available move or reorder controls to position each field exactly where you need it.

Step 4: Edit field settings and validation

Select a field to open the Field Editor, then update its label, help text, required status, and any other field-specific configuration; review any reported schema issues and resolve them.

Step 5: Configure workflow settings

Open the settings panel and use the Workflow tab to enable or disable workflow, choose a workflow mode, and adjust section-level workflow behaviour using the available section configuration options.

Step 6: Set default values, locked and hidden fields

In the Defaults tab, define default prefill values for fields, and choose which fields should be locked or hidden by default when the form is used.

Step 7: Configure submit tasks and sequence behaviour

In the Tasks or Sequence settings, add or edit on-submit tasks and adjust sequence configuration so that automated actions run when the form is submitted, using any available sequence options.

Step 8: Use template variables in configuration

Review the list of available template variables (fetched for the current project and sequence state) and insert them where supported, such as in task settings or text fields, to dynamically reference project or sequence data.

Step 9: Preview the form

Switch to Preview mode to see how the form will appear to end users, checking field layout, visibility, and default values before saving your changes.

Step 10: Save or cancel your changes

Click Save to apply your configuration; the system will build the final form output and persist it, or click Cancel to discard your changes and return to the previous view.
