Create a new version of a form template
Use the form builder to create and save a new version of an existing form template within a project.
This guide is designed for project manager.
Steps
Step 1: Open the form version builder
Navigate to the specific form template within your project and choose the option to create a new version, which opens the form version builder page.
Step 2: Configure form fields
In the form builder, add, remove, and arrange form fields to define the structure of the new version; start from an empty configuration and build the form schema you require.
Step 3: Adjust layout and appearance
Configure the user interface schema (UI schema) for the form, such as layout, grouping and field presentation, so that the form looks and behaves as required for end users.
Step 4: Configure workflow behaviour
Set up the workflow configuration, including any process or routing rules that should run when the form is used, ensuring the new version fits into your existing workflows.
Step 5: Set default values and field restrictions
Specify any default prefill values for fields and mark fields as locked or hidden by default, so that certain data is pre-populated or cannot be changed or seen by end users.
Step 6: Define tasks on submission
Configure any tasks that should be triggered when the form is submitted (for example, follow-up actions or notifications), adding them to the on-submit tasks list as needed.
Step 7: Save the new form version
Select the save option in the builder to create the new form version; if the template exists, the system saves your configuration, shows a success message, and returns you to the template’s versions list.
Step 8: Cancel without saving
If you decide not to proceed, use the cancel option to leave the builder and return to the template details page without creating a new version.
