View and manage form instances

Use the Form Instances tab to review, filter and sort all form submissions for a project, and open tools to issue new forms individually or in bulk.

This guide is designed for project manager.

Steps

Step 1: Open the Form Instances tab

Navigate to the project and open the Form Instances tab to see the list of all form instances associated with the selected project, including their titles, recipients, statuses and key dates.

Step 2: Search and filter form instances

Use the search box to find specific form instances by title or recipient, and apply the status filter to show only forms with a particular status (for example, open or completed).

Step 3: Sort the form list

Click on column headers such as Title, Status, Recipient, Created or Expires to sort the list in ascending or descending order, helping you prioritise which form instances to review first.

Step 4: Refresh the form instance list

Click the refresh button to reload the list of form instances and ensure you are viewing the most up-to-date information from the project.

Step 5: Open a form instance for detailed review

Click on a table row to open the selected form instance and view its full details, responses and status within the project.

Use the copy link control on a form instance row to copy its public link to your clipboard, so that you can share it with recipients via email or messaging tools.

Step 7: Issue a new form

Open the issue form dialogue to configure and send a new form instance, choosing the appropriate form type (open, assigned or anonymous) and recipient details as required.

Step 8: Issue forms in bulk

Use the bulk issue dialogue to create and send multiple form instances at once, streamlining issuance to larger groups of recipients.

Share or open a project link that includes the issue parameters in the URL so that the issue form dialog opens automatically, optionally pre-selecting a default form type such as open, assigned or anonymous.
