Configure a dynamic form with workflow, defaults and submit tasks

Use the Form Builder to design form fields, control workflow behaviour, set default values, and configure what happens when a form is submitted.

Steps

Step 1: Open the Form Builder

Open the form configuration screen where you can see the field palette, the current form structure, field details, and settings options based on any initial configuration loaded.

Step 2: Add and arrange form fields

Use the Field Palette to add new fields to the form, then select, move, reorder, or remove fields so the form structure matches your process requirements.

Step 3: Configure individual field settings

Select a field to edit its properties in the Field Editor, adjusting labels, types, options and validation rules so that each field captures the required information.

Step 4: Preview the form layout

Switch to preview mode to see how the form will appear to end users and confirm that the layout and field behaviour are correct before saving.

Step 5: Enable and configure workflow by sections

Open the settings panel and use the workflow tab to turn workflow features on or off, choose the workflow mode for sections, and update section-specific configuration so work can be managed in stages.

Step 6: Define default prefill values

In the defaults tab, add or update default values for selected fields by choosing a field and specifying its prefilled value, so forms open with key information already completed.

Step 7: Lock or hide fields by default

From the defaults area, select which fields should be locked (read-only) or hidden by default, ensuring users can only change or see information that is appropriate for their role or use case.

Step 8: Configure on-submit tasks

In the tasks tab, define and manage submit tasks that should run when the form is submitted (for example, triggering a workflow action, storing a record, or notifying another system).

Step 9: Review validation issues

Check any reported schema or configuration issues, adjust field definitions or settings as required, and ensure the form passes validation before it is used.

Step 10: Save or cancel your configuration

Choose Save to apply your changes and produce the final form output for use in the application, or select Cancel to discard the current session’s edits.
