Share a form submission securely
Use the share submission dialog to create secure share links and QR codes for a specific form submission, and manage or revoke existing shares.
This guide is designed for project manager.
Steps
Step 1: Open the share submission dialog
From the submissions area, select the submission you want to share and click the option to open the share or sharing settings dialog; the Share submission panel will appear showing any existing active share links.

Step 2: Review existing share links
In the dialog, scroll through the list of active shares to see who can access the submission, the access settings (such as expiry and limits), and use the available actions to copy the link, view the QR code, or revoke a share if it is no longer needed.

Step 3: Choose an access type
In the sharing options section, select whether the new share link should be public, restricted to specific email addresses, or protected by a password, depending on how tightly you want to control access.

Step 4: Configure email or password protection
If you choose email-gated access, enter the allowed email addresses; if you choose password-protected access, enter a secure password that recipients will need to open the submission.

Step 5: Set expiry and access limits
Optionally, enter how many days the link should remain valid and/or a maximum number of times it can be accessed; these limits help you keep shared submission data under control.

Step 6: Create the share link
Click the button to create the public share; the system will save your settings and add a new entry to the list of active share links for this submission.

Step 7: Copy the share URL
Next to the new share entry, use the copy link action to copy the share URL to your clipboard so you can paste it into an email, chat, or document for your recipients.

Step 8: Generate and view a QR code
For any active share, choose the QR code option to generate a QR code; once generated, you can view it in the dialog for quick scanning on mobile devices.

Step 9: Download the QR code
Use the download QR code action to save the QR image to your device so you can add it to presentations, printed materials, or project documentation.

Step 10: Revoke a share link
When access is no longer required, click the revoke or delete action next to a share entry to immediately disable that link and its QR code so the submission can no longer be accessed through them.

Step 11: Close the dialog
After you have created, updated, or revoked the necessary share links, close the Share submission dialog to return to your submissions list.
