Review and manage items on the board view

Use the board view to review workspace items by status, inspect their details, and move items between lifecycle stages.

Audience

This guide is designed for project manager.

Steps

Step 1: Open the board view

Navigate to the workspace area where items are displayed in columns by status (for example Draft, Pending, In Progress, Review, Approved) and confirm that the board view shows cards for each item.

Step 2: Identify item type, priority, and status

Look at each card to quickly understand its type (such as task, deadline, milestone, meeting, temporary works, RFI, procurement, handover), priority level (high, medium, low), and current mapped status based on its lifecycle stage.

Step 3: Inspect item details

Click on an item card to select it and open its detailed view or side panel (depending on your workspace configuration), so you can review further information before deciding on next actions.

Step 4: Open the stage transition dialog

From the selected item card, use the stage or actions control (such as a menu or button) to open the stage transition dialog and see the available lifecycle stages you can move the item to.

Open the stage transition dialog

Step 5: Choose a new lifecycle stage

In the stage transition dialog, select the target lifecycle stage you want the item to move to; the system maps this stage to the appropriate board status column that the item will appear in.

Step 6: Confirm the transition and add a comment (optional)

Review the transition details, optionally add a comment explaining the change, then confirm the transition so the item updates to the new stage and moves to the corresponding column on the board.

Confirm the transition and add a comment (optional)

Step 7: Close the dialog or click outside to cancel

If you decide not to change the stage, close the transition dialog using the close option or by clicking outside the dialog; the item remains in its current stage and board column.
