Share a generated document with a public link or QR code
Share a generated document externally using secure public links and QR codes, with optional access restrictions and expiry controls.
This guide is designed for project manager.
Steps
Step 1: Open the share dialog for a generated document
Open the generated document and select the sharing option to display the share dialog, which shows existing public share links and QR code options for that document.

Step 2: Review existing public share links
In the dialog, review any existing public share entries, including their access type, expiry details, and usage counts, so you can decide whether to reuse or revoke them.

Step 3: Choose how people can access the document
Select the access type for the new share link, such as fully public access, email-gated access, or password-protected access, depending on how strictly you want to control entry.

Step 4: Configure security and expiry settings
If required, enter a password or list of allowed email addresses, and set optional limits such as the number of days before the link expires and the maximum number of times it can be accessed.

Step 5: Add an optional custom title for the share
Enter a custom title to identify this share configuration, which makes it easier to distinguish between multiple public links for the same generated document.

Step 6: Create the public share link
Save your settings to create a new public share entry for the generated document; the dialog will update to show the newly created share with its details.

Step 7: Copy the public share URL
Use the copy action next to a share entry to copy its URL to your clipboard, then paste it into an email, message, or any other channel to share it with recipients.

Step 8: Generate and view a QR code for a share
For any public share entry, generate a QR code so recipients can access the document by scanning it on their devices; you can toggle the QR code display within the dialog.

Step 9: Download the QR code image
Download the QR code for a share as an image file so you can add it to presentations, printed materials, or digital documents for easy access.

Step 10: Revoke a public share link
When a link is no longer needed or should no longer be accessible, revoke the corresponding public share entry to immediately block further access through that URL or QR code.
