Share a generated document with a public link or QR code

Use the share dialog to create, manage and revoke public links and QR codes for a generated document.

Audience

This guide is designed for project manager.

Steps

Step 1: Open the generated document share dialog

Open the generated document and choose the option to share it, then select the quick public share option to open the Generated document share dialog.

Open the generated document share dialog

In the dialog, review any existing public share links listed, including their access settings, expiry, and usage details before creating a new one.

Review existing public share links

Select whether the link should be fully public, email-gated, or protected with a password, depending on how tightly you want to control access.

Choose the access type for the share link

Step 4: Configure email, password, expiry and access limits

If needed, enter allowed email addresses, set a password, define how many days the link should stay active, and limit the maximum number of times it can be accessed.

Configure email, password, expiry and access limits

Enter a custom title to make the shared link easier to recognise for recipients and within your list of public shares.

Add an optional custom title for the share link

Save your settings to create or update the public share link for the generated document, waiting for the saving indicator to complete.

Save and generate the public share link

Step 7: Copy the public share URL

Use the copy link action next to a share entry to copy the public URL to your clipboard and share it with stakeholders; a confirmation icon shows when copying is successful.

Copy the public share URL

Step 8: Preview the public share page

Select the preview action to open the shared document view in a new window or tab and confirm that access settings and content appear as expected.

Preview the public share page

Use the QR code action on a share entry to generate a QR code that links directly to the shared document, then display it within the dialog.

Generate a QR code for the share link

Step 10: Download the QR code image

Once generated, choose the download option to save the QR code image so you can place it in reports, slide decks or printed materials.

Download the QR code image

When you no longer want the document to be accessible via a public link or QR code, use the revoke action to disable that share and remove its access.
