Share a project document via public link or QR code
Use the sharing dialog to create and manage public share links for a project document, including optional access controls and QR codes.
This guide is designed for project manager.
Steps
Step 1: Open the document sharing dialog
Open the document, then select the share option (for example, a “Share” button or icon) to display the Document sharing dialog for the selected document.

Step 2: Review existing public share links
In the dialog, review the list of existing public share links for this document, including details such as access type, expiry, and usage; use the available controls to revoke any link you no longer want to be active.

Step 3: Choose the access type for a new share
Start creating a new public share by choosing how people can access the document, selecting between fully public, email-gated, or password-protected access, depending on your requirements.

Step 4: Configure access controls and limits
Configure any additional restrictions for the new share, such as setting a password, listing allowed email addresses, defining how many days the link remains active, and setting a maximum number of times it can be accessed.

Step 5: Add a custom title and description
Optionally add a custom title and description for the share link to provide more context to recipients about the document or how it should be used.

Step 6: Create the public share link
Confirm your settings and create the public share; the new link will appear in the list of public shares for the document, ready to be copied or used to generate a QR code.

Step 7: Copy the share URL
Use the copy action next to a share entry to copy its public URL to your clipboard, then paste it into emails, messages, or other tools to share the document with others.

Step 8: Generate and view a QR code
For any active share link, choose the QR code option to generate and display a QR code that people can scan with their devices to open the shared document.

Step 9: Download the QR code
Download the generated QR code image to your device so that you can print it, embed it in slides, or include it in other materials where a scannable code is useful.

Step 10: Revoke a public share
When a link or QR code should no longer grant access, use the revoke option for that share entry to immediately disable it and prevent further access to the document.

Step 11: Close the sharing dialog
After reviewing or updating share settings, close the dialog to return to your document; your changes to links and QR codes are saved automatically.
