Share a task with a public link or QR code
Share a task securely with people outside your workspace using public links, access controls, and QR codes.
This guide is designed for project manager.
Steps
Step 1: Open the task share dialog
Open the task and select the share option to display the Task share dialog where you can manage public access for this task.
Step 2: Review existing public shares
In the dialog, review the list of existing public share links for the task, including their current status, access counts, and expiry details.
Step 3: Choose the access type
Select whether the new share will be fully public, email-gated, or protected by a password, based on how tightly you want to control access.
Step 4: Configure security and limits
Enter any allowed email addresses, set a password if needed, and define expiry in days and maximum access counts to control how long and how often the link can be used.
Step 5: Add a custom title for the share
Optionally provide a custom title to make it easier to recognise this particular public share when reviewing it later.
Step 6: Create the public share link
Save your settings to create the new public share; a unique URL is generated and added to the list of active public shares.
Step 7: Copy the share URL
Use the copy action next to the share entry to copy the public URL to your clipboard and send it to external collaborators.
Step 8: Generate and view a QR code
Generate a QR code for a chosen public share and display it in the dialog so others can scan it to open the task.
Step 9: Download the QR code
Download the generated QR code as an image file so you can include it in documents, presentations, or printed materials.
Step 10: Revoke a public share
When access is no longer required, revoke a public share so its link and QR code can no longer be used to view the task.
