Use smart actions to export, save or follow up on results
Use the smart actions toolbar to quickly export results, generate summaries, set follow-up reminders, or save work to a project directory based on the current response.
This guide is designed for project manager.
Steps
Step 1: Open a view that supports smart actions
Navigate to a page or panel where results or responses are displayed; once the system has produced a response with associated metadata, the smart actions toolbar appears beneath the content.

Step 2: Review the available smart actions
Look at the row of smart action buttons (such as Export to Excel, Generate PDF Summary, Create Follow-up Reminder and Save to Project Directory); the options shown will depend on the response content and context.

Step 3: Export data to Excel
If the Export to Excel button is visible, select it to trigger an export of structured data from the current response into an Excel-compatible spreadsheet file.

Step 4: Generate a PDF summary
If the Generate PDF Summary button is available, select it to create a PDF document capturing the main points or content from the current response.

Step 5: Create a follow-up reminder
When a follow-up is needed and the Create Follow-up Reminder button appears, select it to schedule or log a reminder to revisit this item at a later time.

Step 6: Save results to a project directory
If the Save to Project Directory button is shown, select it to store the current response and its related information in the appropriate project workspace or directory.

Step 7: Use any additional custom actions
If your organisation has added custom actions, select the relevant button to perform the bespoke operation (for example, sending the response to another system or workflow).
