Sign in to a field workflow with phone and PIN

Use a worker’s phone number and PIN to sign them into a specific field workflow, such as plant check-in, a permit, or an inspection.

Steps

Step 1: Open the field sign-in screen

Navigate to the relevant field workflow link (for example from a QR code or shared URL) to open the sign-in screen showing the subject you are signing into, such as a permit or inspection.

Step 2: Confirm you are on the correct workflow

Check the heading text to confirm you are signing into the right subject, and review any reference details shown, such as the permit or inspection reference and the organisation name.

Step 3: Enter the worker’s mobile phone number

In the phone field, enter the worker’s mobile number in the international format shown (for example starting with +44), or confirm the pre-filled number if it is already populated.

Step 4: Enter the worker’s PIN

In the PIN field, type the worker’s PIN, taking care to enter all digits correctly, as the system will enforce limits on incorrect attempts.

Step 5: Review any welcome-back message

If the system recognises the phone number, check the welcome-back note to confirm you are signing in the correct person before proceeding.

Step 6: Submit the sign-in form

Select the primary action button (for example "Sign in") to submit the phone and PIN; the button will show a loading indicator while the system checks the details.

Step 7: Respond to any error messages

If the sign-in fails, review the inline error message shown on the form, which may include reasons such as an incorrect PIN, expired access, or a temporary lockout, then correct the details or follow the instructions provided.

Step 8: Switch to first-time authorisation if needed

If the worker has not used this workflow before and an option is shown, use the "first-time here" or similar link to switch to the authorisation path instead of signing in with a PIN.

Step 9: Use the supervisor help guidance

If the worker cannot continue, read the on-screen help text explaining who to contact, typically a supervisor, and follow that route to resolve PIN or access issues.

Step 10: Continue after successful sign-in

Once the sign-in succeeds, the system automatically takes you forward into the selected field workflow so you can complete tasks such as plant check-in, signing a permit, or running an inspection.
