Manage Pending Documents
Review documents awaiting acceptance before they're added to your project library. Each uploaded document creates a task in the Pending section where you can review, accept, or reject it before it moves to the main Documents section.
This guide is designed for construction-professional.
Steps
Step 1: Navigate to Pending Documents
From the Data section, click the Pending tab. This shows all recently uploaded documents that are awaiting your review and acceptance. Each document appears as a task card with basic information.
Pending documents have a "Review Needed" badge indicating they need attention.
Step 2: View pending document details
Click on a pending document to open its detail panel. You can see: file name, upload date, file type, file size, and the uploader's name. A preview of the document content appears if it's viewable (PDF, images, text files).
Documents larger than 50MB may not have previews available.
Step 3: Review document content
Examine the document preview and metadata carefully. Use the preview panel to scroll through the document, zoom in/out, and verify it's what you expected. Check that the file format is correct and content is legible.
You can download the document to review on your computer if needed.
Step 4: Add document to project library
Once you've reviewed the document, click Accept & Add to Documents. The document is immediately moved to the main Documents section and becomes available to your team. A task is created documenting this action.
Accepted documents appear in the Documents tab with full searchability and organization options.
Step 5: Reject document if needed
If the document shouldn't be in the project, click Reject. Provide a reason (optional) like "Wrong file" or "Duplicate". The document is removed from Pending and archived, but can be recovered later if needed.
Use the reason field to help the uploader understand why it was rejected.
Step 6: Organize documents
After acceptance, documents appear in your project library. You can now organize them into folders, tag them, assign them to work packages, or link them to tasks. The document becomes fully searchable across the project.
